Negotiating prices with Chinese suppliers can be somewhat tricky. But with just a little research and some basic know-how, it can be a lot easier.

Note that unlike negotiating prices with street vendors or small retail establishments in China and other parts of the developing world, negotiating prices with suppliers to international markets is much more transparent. Such suppliers will not egregiously mark up their prices, so buyers should not expect to reduce prices overly drastically.

The factors that contribute to a product’s price
1) Raw material prices
As a buyer, you should familiarize yourself with your product’s raw materials and the prices for those raw materials. Many people don’t realize that such commodities change in price quite significantly. For example, cotton prices nearly doubled last year, but have come down quite a bit since. Raw material prices are very transparent and a significant part of a product’s price, so it pays to be knowledgeable about such prices.

2) Energy prices
It’s more difficult to estimate the proportion of a product’s price attributable to energy consumption. Usually the only the most experienced buyers, usually those with a production or engineering background, can develop an accurate estimate. Nonetheless, energy is a main component, and understanding its cost can be beneficial to price negotiation.

3. Taxes
Many Chinese businesses can receive a tax rebate on exports. The amount of this tax rebate changes based on the government’s view on the flow of exports at the time. 1. Vet and confirm suppliers in China

Vetting and confirming suppliers is important to finding a great partner. Without properly vetting and confirming a supplier, you may get lucky, but it’s more likely that you’ll end up with more problems than you started with.

Many disputes are the result of buyers not realizing the necessity of vetting a supplier or improperly vetting a supplier due to a lack of know-how or resources.

In order to properly vet a supplier, the buyer must confirm the following:

a. The supplier is a real and legitimate company

b. The supplier is strong enough financially to fulfill the order and/or provide compensation for any loss resulting from a dispute

c. The supplier is sufficiently capable technically to fulfill the order as required

Below are some red flags. If you spot any of these red flags, it would be in your interest to drop the supplier immediately:

a. The supplier sells name brand goods at unreasonably low prices

b. The supplier does not have a website. While a website does not confirm a company’s legitimacy, in this day in age, the lack of a website indicates that a company is outdated

c. The supplier only takes payment by wire transfer to a personal account or via Western Union. Real, legitimate suppliers will have a corporate account

Please note that while most companies that exhibit at the Canton and East Chinatrade fairs are typically legitimate, some smaller, less legitimate companies, unable to qualify for the trade fairs, may rent booths from larger companies. Also, large companies do not necessarily equate to the “right” supplier for your needs. You will need to find a supplier of the appropriate size to ensure you receive the attention you deserve from a supplier that has sufficient resources to complete your order.

Similarly, being labeled as a “Gold Supplier” or a trusted supplier on any of the major web portals does not necessarily indicate legitimacy.

2. Further narrow down your supplier list by comparing prices and service aptitude

Trust your first impressions for the first cut. Then after that, narrow down your list by:

a. Remove the suppliers with the highest prices

b. Remove suppliers with whom you think there may be a communication challenge. Obviously, this is all relative

c. A background check

During a site visit, you should look out for:

a. The company is located at the address listed on its business license

b. The company’s equipment is up to par and capable of meeting the stated monthly production capacity and technical capability

c. The company’s physical assets line up with how the company presented itself

d. The company’s registered capital is consistent with what it initially stated

The last point is important because if you agree to a 5 million RMB deal with a company with only 250K RMB of registered capital and fixed assets, the supplier may decide to file for bankruptcy in lieu of compensating you in the event of a dispute. In this case, your recovery will be cents on the dollar.

After completing the on-site visit, check with the local government body (usually called the Administration of Industry and Commerce) to verify the information on the company’s business licenses.
